Outlook Add Appointment
To add an Appointment to Microsoft Outlook, click on the Outlook button on the Main Toolbar. You can also right click on the Customer Address in the bottom right hand corner of the screen. See Also Right Mouse Button Menu
The screen is split into two lists. On the right hand side are shown the unique restests in the currently loaded SimplyPats file, their frequency number of tests, and whether the entry has already been added to Outlook.
Finding Appointments
On the Left hand side of the screen is a list of Outlook appointments for a particular day. You can enter a from and to date above this list and click on the Find Button any appointments will be listed. When adding Retests to outlook if there any other appointments on the same day that you are adding then they will also be shown in this area.
Note! If the appointment listed has a reminder set then you will see a clock next to the appointment to confirm that you will be warned in Outlook prior to the appointment.
Double Click On Retest Dates
Should you wish just to find whether an appointment exists for a particular retest date, you can simply double click on the restest date and any appointment will be list in the appointments area.
Adding Appointments
If you want to add all the Retests dates to outlook, simply set the Start and End Times and if you wish to be given a reminder in Microsoft Outlook of impending events, the number of days warning. Setting days reminder to 0 will stop any alarm on the appointment being set. Click the Add Button. You will be prompted if any event for the same company on the same day already exists in outlook. This will help you prevent adding multiple appointments for the same company.
The Appointment that is added to Outlook contans the following information.
- Contact Name
- Company Name and Address
- Phone
- Mobile Phone (if you have entered one)
- Retest Period
- Number of Tests for that Period
Note! If you are running Microsoft Outlook 2000 or below, you may find that setting the days reminder in excess of 7 days does not actually add a reminder. This is due to a limitation of older versions of Microsoft Outlook.
You can tell whether appointments already exist for the retest dates in the file by looking at the Exist column (highlighted in red) A tick indicates that the entry already has been added to Outlook. A cross indicates that no entry exists for the retest date.
Selecting To Add Some Retest Dates
Should you wish just to add some of the retest dates listed, simply select those days and click on the Add button. The selection process works in the same way as selecting test results on the main screen. See Also Selecting Multiple Tests
Add Appointment
Adds all or selected retest dates as appointments in Outlook.
Find Appointment
Finds appointments on specified day.
Close
Closes the Outlook Add Appointment Screen.
